Launching soon

Guests see the sangeet. You see the thirty-one vendors behind it.

BehindScape is the operations desk for Indian event companies. Vendor confirmations, live issues on the floor, money paid against money promised, GST invoices and one portal your client can open at 2am so she stops calling you.

Your coordinator marks a cue done from her phone. The client sees the same board, without the money columns.

The event was fine. The week before it was not.

Nothing here is a time-management problem. It is that the answer exists, and you cannot find it in the ninety seconds you have.

You were in hall B fixing the starters. By the time you called back, the father had already decided you were not on top of it.

This is the thing, running.

Not a marketing render. Five screens from one wedding, doing what they do on the night and in the fortnight after it.

Her page, on your domain. She sees what is confirmed and what she still owes. She does not see what you paid the decorator.

  1. Every yes, in writing

Ask thirty-one vendors to confirm and watch them turn green as they say yes in their own portal. No scrolling back through a thread from March to find out whether the generator was booked.

  2. The night, as it happens

Your coordinator raises an issue from hall B in two taps. It lands here with an owner and a clock on it, and it stays until somebody closes it. You stop finding out at the debrief.

  3. Promised against paid

Each function carries its own budget. Log advances as you pay them and the gap between quoted and paid is a number on a screen, not a feeling in your stomach in April.

  4. An invoice your CA will not send back

Raise it from inside the event. Correct SAC codes, CGST and SGST split because the wedding is in your own state, your GSTIN on the document. Bill two states over and the same invoice comes out as IGST instead.

  5. The page she checks instead of calling

Your branding, your domain. She sees what is confirmed, what she still owes and what she still has to decide. She does not see what you paid the decorator or what your margin is.

Six things running behind the event.

Not modules you switch on later. One product, built to be used standing up, on a phone, in a banquet corridor. The one marked coming soon is what we are building next.

Every vendor, with the yes in writing

One page per vendor holding the quote, the scope, the advance, and the confirmation they actually gave. Book a vendor and they confirm from their own portal; when they say yes, the vendor turns green here.

Decorator, caterer, lights, generator, mandap, dhol, valet, cleaning

What is going wrong, while it is going wrong

Your coordinators raise an issue from the floor in two taps and it lands on one board with an owner and a clock on it. You stop finding out at the debrief.

Raised on site, seen at the desk in under five seconds

Budget on the left, what actually left the bank on the right

Each event carries its budget. Log advances and balances as you pay them and the gap between quoted and paid is a number, not a feeling. UPI reference, cheque number or cash, recorded the way you paid it.

Per vendor and per event, with the profit on each

GST invoices that your CA will not send back

Correct HSN or SAC codes, CGST and SGST split for in-state work, IGST for outstation, and your GSTIN on every invoice. Raise it from the event, not from a separate spreadsheet in the accountant’s laptop.

GSTIN, HSN or SAC, place of supply

The channel they already answer on

Payment reminders, call sheets, confirmation requests and day-before schedules will go out on WhatsApp, and the replies will come back into the event they belong to. Until then they go by email and text.

Templates in English, Hindi and Marathi

A page she can check instead of calling you

She signs in by invitation and sees the running order, what is confirmed, the invoices and quotations you sent her and the files you share. She does not see your vendor margins.

You choose which schedule items and files she sees

Each of these has a page of its own. Read what they actually do.

One wedding is seven events. Your software should know that.

Tools built for a Western planner give you an event with a date on it. Here a client is a family, a family is seven functions across four months, and the decorator you booked in November invoices you in February.

Four months, one budget, one set of vendors who invoice whenever they feel like it

Money the way it actually moves

Amounts in lakhs and crores, with Indian digit grouping, because 8,90,000 is not 890,000 to anyone reading it. UPI references, cheque numbers and cash entries all sit in the same ledger.

GST at 18 percent, shown separately

WhatsApp is the channel, not a feature

Your mandap contractor will not check email. He will reply to a WhatsApp message in four minutes, so WhatsApp is what we are building next: requests out, replies back inside the event. Until then he confirms from a simple portal, with a text to remind him.

WhatsApp: coming soon

Built for the day, not the plan

Most of this software assumes the work ends when the plan is approved. In this business the plan is the easy part. The board is made for a coordinator standing in a corridor with one hand free.

Works on a weak venue signal

More on how this is built for Indian events.

What the pilot companies say.

The starters vendor did not show up at hall B. My coordinator raised it at 20:18 and I saw it on my phone in the parking lot. We moved the paneer counter across and the family never knew there was a gap.
Meghna RaneFounder, Rane Events, Ahmedabad. Runs 40 to 50 weddings a year.
I stopped keeping the payment sheet. Not because someone told me to. I just could not find a thing it was still doing that the app was not doing better, and my CA got clean invoices for the first time in six years.
Faizan QureshiPartner, Sabaa Weddings, Jaipur.
The portal is the thing. One mother of the bride used to call me eleven times a day. Now she opens the link, sees the mehendi is confirmed, and calls me once. That is my evening back.
Anjali MenonLead planner, Kadamb Events, Kochi.

One monthly rate. Not a cut of the wedding.

A ₹40 lakh wedding and a ₹4 lakh birthday cost you exactly the same to run here. Pick a plan, add what you need, and the total updates as you go.

An estimate. The exact figures are confirmed at checkout.

GST goes on top and is shown separately on the invoice, which carries our GSTIN. Each plan's emails reset every month. SMS is never bundled: you buy prepaid credit in packs, it is used one text at a time, and it does not expire. An offer code takes its percentage off the plan and add-ons, not SMS packs, and is checked again when you pay.
